Transcription quality is poor
Symptoms. Words come out wrong, speakers get mislabeled, or long silences land where speech should be.
How to fix.
- Try a larger Whisper model in
Settings>Transcription>Model. The default isbase. Step up tosmallormediumif your Mac has the headroom. - Check your microphone input level in
System Settings>Sound>Input. If the meter barely moves when you speak, pick a different device. - Lower background noise. The on-device model is good but it is not magic.
- Rename speakers on the review page after the meeting. The correction propagates.
App does not capture the other side of the call
Symptom. Your words show up in the transcript. The other side does not.
How to fix. Open System Settings > Privacy & Security > Screen Recording, make sure IntelliPrompter is in the list, and turn it on. Quit and relaunch the app. macOS only picks up the new permission on restart.
Sign in bounces back to the sign-in page
Symptom. You click the magic link, your browser confirms sign in, but the app does not pick up the session.
How to fix.
- Make sure the app is already running when you click the link.
- If your browser asks whether to open
IntelliPrompter, clickAllow. - Try
Sign out everywhereat /account, then sign in fresh. A stale session on another device can block the new one. - Confirm the macOS URL scheme. In Terminal, run
open "intelliprompter://ping". The app should foreground. If nothing happens, reinstall from/Applications.
AI coaching is not firing
Symptoms. Coaching cards never appear during the call.
How to fix.
- Confirm an AI provider is
ConnectedinSettings>AI Providers. - Confirm the overlay coaching toggle is on for the current meeting.
- Give it a few minutes. The engine ramps up as context accumulates.
- Check your meeting profile. If every coaching mode is off, nothing fires.
- If you are routed to local Ollama, confirm it is running. In Terminal, run
ollama list. If the command fails, start Ollama first.
AI calls are failing
Symptoms. The provider status shows Error. You see “AI request failed” toasts.
How to fix.
- Check that your API key is still valid in the provider's console. Revoked keys are the most common cause.
- Check that your spending limits are not maxed out for the month.
- Confirm your network is up. The app shows a network indicator in the status area.
- Rotate the key. Go to
Settings>AI Providers> your provider >Reconfigure, paste a fresh key, and save.
High CPU or battery drain
Symptoms. Your fan spins up during meetings. Your battery drops faster than usual.
How to fix.
- Switch Performance Mode to
LightinSettings>Performance. Light caps background work and uses a smaller Whisper model. - Close other heavy apps during meetings. Browsers with 80 tabs and video editors are the usual culprits.
- On an older Intel Mac, prefer
tinyorbaseWhisper models oversmallor larger.
App does not open from the Downloads folder
Symptom. macOS Gatekeeper blocks the app on first launch.
How to fix. Open System Settings > Privacy & Security, scroll to the bottom, find the row that reads “IntelliPrompter” was blocked, and click Open Anyway. Confirm in the follow-up dialog.
/Applications before you first open it. Running from Downloads causes permission prompts to re-ask every launch.Integration shows Connected but no data
Symptom. A calendar or CRM integration looks connected, but nothing syncs.
How to fix. Open Settings > Integrations, pick the provider, and click Reconnect. The refresh token has almost always expired. A fresh OAuth round-trip restores sync.
Meeting ended by mistake
Symptom. You clicked End meeting too soon.
How to fix. The review page has a Rejoin button. It works as long as the underlying call is still live.
